Administration and Operations Assistant
our Program Team, Development Team, and overall organizational operations. This is a 30-hour per week, remote position that plays a vital role in ensuring the smooth day-to-day functioning of our organization while
supporting our mission-driven work with students and families.
● Assist with program coordination and logistics for student activities and events
● Maintain accurate participant records and documentation
● Support communication with students, families, and program partners
● Help coordinate volunteer recruitment and management activities
● Assist with program evaluation and data collection efforts
● Provide administrative support for fundraising activities and donor relations
● Assist with grant application processes and reporting requirements
● Help maintain donor databases and contribution records
● Support special events planning and execution
● Assist with marketing and communications materials
● Manage general administrative tasks, including filing, correspondence, and record-keeping
● Coordinate office operations and maintain organized systems
● Order and manage office supplies and program materials
● Coordinate print projects, including materials production, vendor communication, and quality
control
● Assist with financial record-keeping and expense tracking
● Support human resources functions as needed
● Handle general inquiries and provide excellent customer service
● Input and maintain data across various organizational systems
● Generate reports and assist with data analysis
● Ensure data accuracy and integrity across all platforms
● Support database management and updates
Must- Haves:
● High school diploma or equivalent; associate's or bachelor's degree preferred
● 2+ years of administrative or operations experience
● Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
● Strong organizational skills and attention to detail
● Excellent written and verbal communication abilities
● Ability to work independently and manage multiple priorities
● Experience with database management and data entry
● Professional demeanor and strong interpersonal skills
Preferred:
● Experience working with nonprofit organizations
● Experience working with Canva and Google Classroom preferred, or a comfort level and ease in learning
new systems required
● Familiarity with donor management systems (Salesforce, Form Assembly, etc.)
● Experience working with youth programs or educational initiatives
● Bilingual capabilities (Spanish preferred)
● Knowledge of social media platforms and basic marketing principles
Pay:
- $20 per hour
Training:
- On the Job
- 9am - 4 pm EST
● Core Hours: Majority of work during Boston business hours (9 AM - 4 PM EST) for team collaboration
● Flexibility: Some administrative tasks and data input can be completed outside standard hours
● Evening/Weekend Work: Occasional contact with students and families may occur outside normal
business hours
- Hours: 30 hours per week - may fluctuate based on needs
